1. Purpose
Beyond Corporate GmbH (“Beyond Corporate”, “we”, “our”, “us”) is committed to ensuring that users maintain full control over their personal data.
This policy outlines how users can request account deactivation or data deletion, how we process such requests, and how long data is retained in compliance with the General Data Protection Regulation (GDPR) and other applicable data protection laws.
2. Definitions
- User Data: Any information related to an identifiable user, including personal details, account data, or usage information stored in systems operated by Beyond Corporate GmbH or its clients.
- Deactivation: Temporary suspension of a user account. The data remains securely stored but is inaccessible to the user until reactivation or final deletion.
- Deletion: Permanent and irreversible removal of user data from all Beyond Corporate GmbH systems (and backups after scheduled purges).
3. Data Deactivation Requests
Users may request account deactivation if they wish to temporarily suspend their use of a Beyond Corporate–developed app or service.
a) Process
- The user submits a deactivation request via email to office@thinkbeyondcorporate.com, including:
- Username or registered email address
- Name of the app or service (if applicable)
- Any additional identifying information requested for verification
- We verify the request to ensure the requester’s identity matches the account owner.
- Once verified, the account will be deactivated within 7 business days.
b) Data Retention During Deactivation
- The user’s data remains stored securely in our system for 90 days from the deactivation date.
- During this period, the account remains inactive but can be reactivated upon user request.
- No active processing, analytics, or communication will occur during the deactivation period.
c) Automatic Deletion After 90 Days
If no reactivation request is received within 90 days, the user’s data will be permanently deleted from all primary and backup systems in accordance with this policy.
4. Data Deletion Requests
Users can request the immediate deletion of their data from Beyond Corporate GmbH’s systems.
a) Process
- The user sends a data deletion request to office@thinkbeyondcorporate.com, including:
- Username or registered email address
- Name of the app or service (if applicable)
- Any verification information requested by us to confirm ownership
- Upon verification, the deletion process begins immediately.
- The data is removed from all active databases and scheduled for removal from backup systems within 30 days.
- Once completed, the user will receive a confirmation email stating that their data has been deleted.
b) Consequences of Deletion
- Deletion is permanent and irreversible.
- Users will lose access to all associated data, features, and services.
- Re-registration will create a new account without recovery of previous data.
5. Verification of Requests
For privacy protection and compliance with GDPR Article 12(6), we may request additional information to verify the identity of the user before processing any deletion or deactivation request.
Beyond Corporate GmbH reserves the right to refuse requests that are unverifiable, abusive, or conflict with legal obligations (e.g., data retention under tax or audit laws).
6. Exceptions and Legal Obligations
We may retain certain data even after a deletion request if required by law, such as:
- Financial or billing data that must be preserved under §147 AO (German Tax Code) for up to 10 years.
- Transaction records necessary to resolve disputes or comply with regulatory inquiries.
In such cases, the retained data will be restricted and used only for the legally required purpose.
7. Security of Data During Retention
During the 90-day deactivation period and any extended legal retention, Beyond Corporate GmbH ensures that:
- All data is encrypted and stored on secure, GDPR-compliant servers.
- Access is strictly limited to authorized personnel.
- No further processing or profiling occurs unless required for compliance or reactivation.
